Individual guests rooms may be cancelled 72 hours prior to arrival without penalty. If you fail to show on the expected date of arrival, the room deposit will be forfeited as a “no show” fee and the room will be released for the remaining dates reserved.

Storage: the hotel does not have appropriate facilities to store packages/boxes for exhibits prior to, during or after the scheduled event date. Shipments for a scheduled event should be directed to the selected Drayage Company at the exhibitor’s expense. Any packages/boxes that are shipped directly to the Hotel, if received more than two days prior to the event, the shipment will be refused. All packages/boxes received by the Hotel are subject to a $5.00 per package/box per day storage fee. Payment of such storage fee, if due prior to the release of any packages/boxes to the packages/boxes shipped directly to the Hotel, must be labeled as follows:

Non-flammable materials: all Materials used in the hotel must be nonflammable to conform to fire regulations. Electrical wiring and equipment installation must conform to all appropriate codes. Materials not conforming to such regulations will be removed from the Hotel at the exhibitor’s expense. Engines, motors, or any kind of equipment may not be opened in the Hotel at any time without the consent of the Hotel’s Chief Engineer.
Liability: the board will not be responsible for any injury, loss, or damage that may occur to the exhibitor, the exhibitor’s employees or property, or to any person, prior, during or subsequent to the period covered by the exhibit contract provided said injury, loss or damage is not caused by the willful negligence or wrongful act of any employee of the Hotel. Each exhibitor expressly releases the Hotel from such liabilities and agrees to identify the Hotel against any and all claims for such injury, loss or damage.
Insurance: Exhibitor’s who desire to carry insurance on their exhibits must place it at their own expense.
Fire Exits: All door and openings on official floor plan must be kept clear at all times. NO EXCEPTIONS.
Fire Alarm Boxes: Fire alarm boxes and fire extinguishers must be kept visible at all time. NO EXCEPTIONS.
Electrical Service Request: All requests must be made at least two weeks before the scheduled event. The hotel cannot guarantee fulfilling any last minute requests. All Service requests must include payment before orders are fulfilled. A charge of $40.00 a day plus tax and service charge. See electrical power requirements request form.
Heating, Venting and Air Conditioning: Air conditioning will be provided in the exhibit area no more than one (1) hour before the scheduled beginning of the exhibition or show and will be discontinued immediately at the conclusion of the event. If HVAC is required for hours other than the scheduled exhibition times, a charge will be made.
Vehicle Display: Any vehicle displayed within the Hotel must have all oils and fuels drained to the lowest possible levels. The vehicle battery must be disconnected. THESE ARE FIRE DEPARTMENT REGULATIONS. A protective covering must be placed by the exhibitor and at the expense of the exhibitor, under the vehicle to protect the floor from any possible leaks.
Special Notes: No nails, screws, glues, adhesives, strings or wires used in building displays may be attaché to the building. All property destroyed or damaged by exhibitors must be replace in its original condition by the exhibitor and at the exhibitor’s expense. Any banners flags or posters to be hung on the Hotel walls or property must be hung by Hotel personnel.

Agreement made on this _____ day of _____________, year _____________, between Central Florida Division, International Association of Electrical Inspectors, first party, and ___________________________Displayer, second party, witnessed:
In consideration of the payment of two hundred fifty dollars ($250.00) for the first table, with an optional second table available for an additional one hundred fifty dollars ($150.00) and party to the first party, the parties hereto agree as follows:
1. The First Party agrees:
(a) To furnish space of the following size, six feet (6’) by three (3’) table each, at the Omni Hotel, Jacksonville, Florida, from 8:00 a.m. Thursday, May 8, 2008 to 6:00 p.m. Friday, May 11, 2008, inclusive, in the display space assigned, being space number ________ ( to be assigned) for ____________ table(s).
(b) To display in a conspicuous location at said meeting the names of all displayers and their representatives.
(c) To supervise the setting up of display areas and to arrange with the hotel for maintenance of the display area other than the display booths.
2. The Second Party agrees:
(a) To maintain the booth or booths assigned to it.
(b) To assume any responsibility for insuring his or their display against loss by fire, theft, or vandalism. First party assumes no responsibility for such loss.
(c) To install the display without defacing of damaging the floors or walls or property of the display hall.
(d) To remove booth and display boxes and containers from the display hall by the time designed at the termination of the meeting.
(e) To conform to all the provisions of the IAEI manual applicable to displays at meetings.
3. The parties that the displays shall be of an educational nature and feature new developments where possible, and shall of such type as shall be consistent with character of the electrical Industry.
4. The parties further agree:
(a) That no loud speaking devised or amplifiers of any description shall be used by the Displayer except upon explicit arrangement with Displayer committee Chairman who shall determine that the arrangement will be such that no annoyance will be caused by the public, adjacent displayers or sessions of the meeting.
5. The parties further agree that the first party shall have the right to discontinue and cause removal of nay Displayer objectionable to the industry or the public upon the refund of the amount paid by Displayer less the expense incurred by the first; party, if any.
